American Adjustment Bureau, Inc. is pleased to offer a payment/contract monitoring service for medical service providers. Our system works like this: Letter #1 Upon listing with this office a Notification of Referral and Validation Letter is sent to the debtor as required by the Federal Fair Debt Collection Practices Act., along with a return envelope, to aid your patient in making the established payments. This letter states that we have been contracted to monitor the payment arrangement that was agreed upon with you (our client). And that we will be doing the billing for this arrangement. We will bill based on the specified schedule that was established. Patients will be provided with the option to make payment by electronic check, MasterCard, Visa, American Express or Discover Card. These types of payments can be set up as a recurring transaction to coincide with the established payment schedule. As long as payments are received as agreed we take no further action. We simply review the file upon receipt of payment to ensure that the debtor is paying as agreed and continue sending statements which reflect the agreed upon arrangement, last payment, last payment date, next payment due date and current balance. If payment is not received within two weeks of the agreed upon due date, we will make a telephone contact only with the intention of bringing the account current. If this does not get the anticipated response, two weeks later (now 30 days past due) we will send letter #2. Letter #2 will advise the patient that they are now in default of the agreed upon arrangements and be offered the opportunity to keep the agreement if they make their account current. If letter #2 does not get the desired response, two weeks thereafter we will make another telephone contact with the goal of immediate payment to get the account current. At this point the account is 45 days past due. If payment is not received within two weeks (60 days past due), we will send letter #3. Letter #3 is notification to the patient that they have defaulted on their payment agreement and the balance in full is now due. Fourteen days after letter #3 is sent the account will be referred to you for your perusal. A copy of our work file, showing the account balance, all payments, telephone contacts, and notices sent will be attached for your review. You are given the option of rolling the account over into regular collection or canceling the account from our office. We charge a low contingent percentage on all funds collected on these accounts. We will acknowledge receipt of these accounts and provide you with separate collection reports on all funds collected. You may add additional accounts when a patient receives additional services from you and they want their payment plan changed or extended. Any custom options that you may desire can be implemented. No longer will your statements go to the bottom of the pile We offer this service at a low contingent rate |
